Daily operations
- Business day and shift control: Open a day, run 1–3 shifts, approve, close and lock, with clear status at every step.
- Pump meter readings: Opening meters carry forward automatically. Cashiers enter closing meters and pump tests, and litres sold and value update live. Meter roll-over is handled.
- Tank dips: Enter dips in litres or in centimetres using your own tank calibration chart. Opening stock carries forward.
- Fuel deliveries: Record bowser deliveries with supplier, invoice and cost. Optional before/after dips show short deliveries.
- Collections: Cash, card, QR, bank transfer and cheque, plus a cash count by note denomination.
Accuracy and control
- Automatic reconciliation: Expected cash = sales − credit − card − QR − bank − cheque, compared with counted cash.
- Book stock and variance per tank: Opening + deliveries − sales against the physical dip, in litres and %, with your own tolerance.
- Price history: Prices are never overwritten, and each shift is locked to the price in force when it opened.
- Locked days: Once locked, a day cannot be changed. Only an Admin can reopen it, with a reason.
- Role-based access: Cashier, Manager and Admin each see only what they need.
- Full audit log: Who changed what, when and why.
Credit customers
- Customer accounts and vehicles: Credit limits, credit days, and look-up by vehicle number at the pump.
- Credit bills in seconds: Enter litres or amount and the other is calculated. Credit limits and blocked customers are enforced.
- Payments and receipts: Numbered receipts (80 mm or A4), voids with a reason, and balances that always add up.
- Statements and ageing: Printable A4 statements and 0–30 / 31–60 / 61–90 / 90+ day ageing.
